Security System
Included with every version of Apartment Management Software is the option to set up a security password system. You can set up an administrator who has access to all of areas within the Apartment. The administrator will also have the ability to set up multiple users who may have limited access to specific functions or forms within the program. Each user will have their own password to gain access when they start the program.
Reminder System
No more missed lease expirations! No more searching for whose rent is late! You will be reminded of these and other priorities including:
- Late Rent - A list of tenants who have unpaid balances.
- Lease Expiration - A list of tenants whose lease will expire in 30, 60 and 90 days.
- Print Reminders -You can choose to print any of these reminders directly from the Reminder System.
Credit Checks within Apartment Management
Just type in your Client and User Name. Enter the basics about your prospective tenant in Apartment, and then simply click on the Credit Check icon. Within seconds you will receive important information about your prospect. Credit reports, eviction histories, criminal records, fraud searches, and social security validation are just some of the services available.
Organize Tenants
You can keep simple or detailed records about each tenant. Fill in only the folders that you want. Some things you can record include:
- Incidents - Keep a dated record of all interactions with tenant. Include complaints, disputes, anything else you want. Changes to the tenant form can be automatically logged to this tenant's Incident Folder. Be reminded of Incidents you mark. Print Tenant Incident reports.
- History of Letters Sent - A dated history of all letters sent to a tenant is automatically logged. View a list of all letters sent to the tenant, and click on one to view or reprint.
- Personal Information - Social security numbers, notes, move-in and move-out dates and much, much more.
- Security Deposits - Keep detailed transaction history of security deposits, including deposit amounts paid and unpaid, charges for damages, and any interest paid on the account. Total amount of money held for the tenant. Print Security Deposit Receipts on your own paper, or on receipt paper that fits in our compatible double window envelopes.
- Security Deposit Report - Showing all deposits held for a unit, building or by tenant list.
- Prospective Tenants - Keep a list of rental applicants and record details about them, such as employer, present address, your notes, and more.
- Inactive Tenants - Keep a list of all tenants, who have moved out, for future reference. Click one button to change a tenant to inactive, now the unit they rented shows as vacant too.
- Vehicles - List the allowed vehicles and allotted space for parking.
- Employer - Previous and current employers can be listed in the Employer Folder.
- Addresses - List the previous address of the tenant, including previous manager's contact information. When tenant moves out, keep a record of new forwarding address.
- For Storage Units or Other Rentals in Which the Tenant Does Not Reside in the Rental Unit - Just fill in the Bill To folder and invoices and receipts will be sent to that address.
- Recurring Charges - List the recurring charges for this tenant. Charges can be set up monthly, weekly, fortnightly, quarterly, and more. The charges you set up will be billed to the tenant on the schedule you choose. Each charge can have its own late fee and can be shared with roommate(s).
- Room mates - Room mates can be set up in one of two ways. 1- Each tenant in the same unit can have separate charges showing on separate invoices and receipts; or 2- One or more charges can be shared. Shared charges will show up on invoices of all tenants in that unit.
- Lease Expiration Report - Report lists lease expirations in chronological order, so you can easily renew.
- Mailing Labels - Print mailing labels for a unit, building or from the tenant list.
- Tenant Information Reports -Print tenant lists or detailed tenant reports for one or more tenants. Or choose the report for all the tenants in a building.
- Rent Roll Report - Listing tenant names and addresses, lease start and end dates, deposits held and rental amount. Run this report by unit, building, or by owner name.
Organize Buildings and Units
Buildings can be single family homes, or large complexes. You can easily set up your buildings and units. No need to remember Property ID#s, just find them listed by description or address from the drop down list. You can combine different kinds of properties. For example, a trailer park, a few duplexes, storage units, and a commercial property and all are combined on the same software. You can keep simple or detailed records about each unit and building. Fill in only the folders that you want. Some things you can record include:
- Appliances - Keep a dated repair record of each appliance, warranty and model number, and other information.
- Contents - Keep detailed records of contents of the rental unit.
- To-Do List - Keep and prioritize a list of repairs, phone calls to return, items to buy, etc. Be reminded of chores you marked. Print the report.
- Classified Ad - Compose and save the classified ad for each unit to save time each time there is a vacancy.
- Mortgage Information - Keep details about mortgages held for each building.
- Insurance Information - Keep insurance information close at hand. Details of past claims, agent's name, etc.
- Wall / Floor Coverings - Plenty of room to record as many details as you want about each room in the unit or building.
- Owners - Show the ownership of each building. Each building can have many owners, each owning percentages, or just one owner. When you fill in the Owner Folder, reports can be run for each owner. (Profit and Loss, and much more)
- Vacancy Reports - Vacancy reports can be run for a building, an owner, or for all properties combined.
- Building Information Reports - Customize a report about a building or unit. Choose the areas you want to be included in the report, such as: mortgage or insurance information, classified ad, contents of units, appliance information and/or repair records. Run the report for one or more buildings. For example, you could choose to list refrigerator repair records for all properties.
Organize Income
- Quick View of Tenant's Payment History.
- Quickly Collect Rents - Collect income typing in tenant last name, or unit number or finding name or address from a drop down list.
- Late Fees - Choose one or more late fee types for each tenant, including: fixed amount if late, amount per day if late, or discounted rent if paid early. Late fees will be calculated for you on any charge. Late fees can be easily changed on an individual basis.
- Income Categories - Add as many income categories as you wish. (rent, parking, furniture rental, etc.) Customize the categories to work with the type of rental business you have (i.e. association dues, storage fees).
- Government Taxes - Set up recurring charges for each tenant based on the tax amount. Then simply collect these charges separately for the tenant when the payment comes in. Print a separate report showing all payments collected of that tax type.
- Income Category Reports - Report will list all categories, or ones you select for any building, all properties or for an owner.
- Payment Details - Record payments of cash, check or credit toward charges. Apply the payment easily with one click or apply the payment to the charges any way you want, or as required by your state. For example, you can apply part of the payment to the late charge and the remaining part of the payment to a portion of a rent charge.
- One Time Charges - easily add one-time charges or beginning balances.
- NSF - Cheques returned for non-sufficient funds are easy. Just highlight the line showing the bad cheque and click the NSF button. The original charge will be restored, and the NSF fee you determine will be added to the balance.
- Bank Deposit Report - Print a bank deposit report for any date range. Choose the report for any building, unit, owner, or for all properties. Report will list all cash, cheques, and credits collected, with details or as a summary.
- Profit and Loss Reports - Print reports for any unit, building, all properties combined or for an owner.
- Tenant Receipts - Print receipts quickly. Add a new custom message to the receipt or choose from a list you make. Print on your own paper, or use Apartment Management compatible receipt forms.
- Invoices - Send Next Period Invoices to one or a select group of tenants. Choose how far in advance you want to bill for the next period.
- Late Rent Notices - Send Late Rent Notices to only those who are late, tenants who are late will automatically be selected for you. With one click, late notices will be printed to all late tenants.
- Receipt and Invoice Forms - Forms with your imprint can be purchased that are compatible with Apartment Management. They fit easily into our double window envelopes.
Organize Expenses
Expense Categories - Apartment Management expense categories are set up for you with tax categories. You can change the categories for the way you do business. You can have sub-categories of other categories.
- Income Not Associated With a Tenant - Easily record miscellaneous unit or building income on this form.
- Expense Reports - You can get expense reports that show the expenses divided into categories (i.e. repairs) for any unit, building or owner. You could choose instead an expense report showing all expenses chronologically listed for any unit, building or owner. Expense reports can be run on any date range.
- Depreciation Reports - Get a report listing all of the items you selected as being depreciated. The report will list the purchase date of the items, and their cost.
